A bank deposit is the end of a collection path, not a complete revenue definition. This original October 2026 case follows invented POS groups through separate processor and cash-deposit clearing ledgers. Every figure can be reproduced from the downloads. No customer, facility or client record appears in the case.
Define the case before adding the columns
Dataset v1 uses US dollars and October 1–31, 2026, America/New_York local dates. The simplified source groups summarize captures, not individual tickets. In a real review, obtain the underlying transaction IDs, timestamps, voids and export definitions. Do not treat these teaching files as a provider’s export format.
Retail service, membership billings, unused prepaid sales and collected tax have separate columns. The tax amounts are invented and do not establish an applicable tax rate or taxable classification. Gross captures include the displayed tax and prepayments. Refunds appear once in the separate clearing ledgers; do not subtract them again from the already-refunded bank receipts.
| POS group | Card retail | Member billings | Prepaid issued | Card tax | Gross card | Gross cash |
|---|---|---|---|---|---|---|
| EX-P1 | $10,000 | $6,000 | $500 | $1,200 | $17,700 | $2,160 |
| EX-P2 | $12,000 | $6,000 | $0 | $1,350 | $19,350 | $2,700 |
| EX-P3 | $8,000 | $5,000 | $500 | $1,000 | $14,500 | $1,620 |
| EX-P4 | $1,000 | $1,000 | $0 | $150 | $2,150 | $216 |
| Total | $31,000 | $18,000 | $1,000 | $3,700 | $53,700 | $6,696 |
The $6,696 gross cash column comprises $6,200 retail services and $496 tax. There are no cash membership billings or prepaid sales in this invented case. No disputes, reserve holds, currency conversions, tips or other processor adjustments are assumed. If a real export contains those items, add documented ledger lines rather than adapting an unexplained net total to this limited calculator.
Reconcile the processor balance first
| Processor bridge | USD |
|---|---|
| Opening net processor clearing balance | 2,400 |
| Gross October card captures | 53,700 |
| Current-period card refund: $200 service + $16 tax | −216 |
| October refund of September sale: $100 service + $8 tax | −108 |
| Processor fees deducted | −1,500 |
| Payout EX-B1 credited October 15 | −20,000 |
| Payout EX-B2 credited October 30 | −31,576 |
| Closing net processor clearing balance | 2,700 |
Starting with $2,400, adding $53,700 and subtracting $324 refunds, $1,500 fees and $51,576 payouts leaves $2,700. The November 3 bank credit EX-N1 provides the invented subsequent-receipt evidence for that closing balance. It belongs in the cutoff workpaper and is excluded from October bank receipts. The opening balance represents earlier activity and is not October sales.
Expected card bank credits = gross captures − refunds − fees
+ opening net clearing − closing net clearing
= 53,700 − 324 − 1,500 + 2,400 − 2,700
= 51,576
Stripe’s documentation distinguishes automatic-payout reconciliation from balance reporting and identifies payments, refunds, fees and ending balances. That is one provider’s reporting context. Obtain the relevant report for the actual account’s payout configuration; the fictional bridge here does not assume that every processor uses those names or the same settlement timing.
Reconcile cash deposits independently
The cash-deposit clearing account opens with $500 in transit. Gross cash receipts add $6,696, and one current-period refund removes $108: $100 service and $8 tax. Bank deposits EX-C1 and EX-C2 total $6,188. The remaining $900 is deposited on November 2 as EX-N2. Till floats and any other held cash are excluded consistently from both opening and closing balances in this case; a real review must account for those balances if present.
Expected cash bank credits = 6,696 − 108 + 500 − 900 = 6,188 Expected total October operating bank credits = 51,576 + 6,188 = 57,764
The October bank extract totals $57,764 across its four October credits. The two November credits are subsequent evidence, not additional October receipts. A loan or owner contribution would need its own non-sales classification if present; no such inflow is assumed here.
Try an exception without plugging the difference
Load the fictional example, change actual cash deposits to $6,138 and calculate again. The cash difference becomes −$50; expected cash remains $6,188. Assign that difference to a reviewer and compare deposit receipts, bank entries and the cash log. Do not increase closing transit by $50 merely to force agreement without a corresponding record.
Also inspect the card and cash differences separately. A $50 excess in one lane and a $50 shortfall in the other produces zero combined difference while leaving both lanes unresolved. This is why the tool displays separate differences and does not issue a “verified” badge.
Prepare the accounting bridge after matching cash
A conceptual collection entry separates service or billing amounts, tax liabilities and prepaid obligations from processor or cash clearing. Fees reduce the clearing balance and create an expense. Payouts move clearing to the bank. The accountant then determines revenue recognition and cutoff under the business’s reporting basis. These are review categories, not a prescribed journal entry for every account system.
For a second, explicit illustration, opening unearned membership value of $1,800 plus $18,000 current billings less $2,200 closing unearned value yields $17,600 recognized membership revenue, assuming no membership refunds or other adjustments. The balances are invented assumptions requiring a customer-service-period schedule in a real review. Mister Car Wash’s cited public filing describes its own ratable membership recognition; it is not proof of a small operator’s accounting.
Unused prepaid value opens at $400 and rises by $1,000 issued, with no redemptions or expirations assumed, to $1,400. That obligation is separate from the $2,200 unearned membership amount. The September-sale refund paid in October still needs an accounting cutoff decision. Matching cash therefore leaves real recognition and acquisition-allocation questions open.

Sum gross card and cash columns in the POS file. Sum signed processor effects to $2,700 and signed cash-clearing effects to $900. Filter bank dates to October before summing $57,764. Check subsequent receipts by reference, not merely by equal amounts. The exception file records the remaining recognition and obligation work.

Review responsibility and limits
An accountant should select the actual reporting basis, verify source definitions and approve any accounting conclusion. The website editor versions the invented dataset with this article and reviews the method annually. These files demonstrate arithmetic, not authenticity, the occurrence of every wash, tax compliance or an audit opinion.
Questions before using the result
Why do bank receipts differ from gross captures?
Refunds, fees and movements in opening and closing clearing balances affect the collection path. Taxes and prepayments also prevent bank receipts from being treated automatically as earned revenue.
Is the $1,500 fee a quoted processing rate?
No. It is an invented aggregate expense for this case, with no claim about any vendor’s pricing.
Should I include the November receipts in October bank deposits?
No. They support the October closing transit balances in this case. The October bank-credit total uses October dates only.
Does the balanced case prove the seller’s revenue?
No. Matching arithmetic is one procedure. Source integrity, missing records, tax and service-period treatment, actual service occurrence and independent corroboration remain separate.
