A payroll bank debit is not the same thing as payroll expense. Define the period and explain gross pay, employee deductions, employer costs and settlement timing separately. Then bridge paid wages to the accounting expense. Keep any remaining difference as an unresolved question; do not create an accepted add-back merely to make the numbers agree.
Collect a matched, authorized record set
Identify the employer, site, review dates and accounting basis. Request payroll-register totals, pay-run reports, time records, provider funding statements, bank payments, employer tax and benefit costs, relevant returns, and the corresponding general-ledger accounts. Record which work periods and payment dates each export covers. A September pay run can include August work, and an October remittance can settle a September liability.
Use an authorized data room for underlying records and appropriate redaction. This public workbook accepts aggregate figures and source aliases, not employee names, Social Security numbers or bank details. Record the document version and reviewer in your private file. If a payroll provider reports several entities together, obtain the employer-specific support rather than assign a convenient percentage.
Separate wages, deductions and employer costs
Gross wages contain the employee deductions withheld from pay. Net pay plus those deductions can explain gross pay; adding deductions again to gross expense would double count them. Keep non-wage reimbursements separate. The workbook assumes the reimbursement entered is outside the labor-expense line under review; if the accounts classify it differently, reconcile that classification with the accountant.
Employer taxes, employer-paid benefits and payroll-provider charges are separate cost categories. Enter each category’s cash cost and expense on the selected accounting basis independently. They may differ because an invoice, benefit contribution or liability belongs to another period. If the cost population is incomplete, leave its completeness declaration unchecked. A known subtotal is still useful, but the complete expense result remains unknown.
New York DOL’s payroll record guidance identifies hours, rates, gross/net wages and itemized deductions among relevant records, with a six-year retention requirement. Those records support review; arithmetic alone does not establish compliant pay practices, classification, leave treatment or the absence of claims.
Reconcile settlement without hiding timing
The funding bridge begins with gross wages plus non-wage reimbursements and the entered employer cash costs. Opening settlement payables increase the payment needed; closing settlement payables reduce it. An increase in a payroll-provider prepayment increases funding. Enter a signed other adjustment only with an explanation. Settlement balances here exclude the wage accruals used in the expense bridge.
Compare that expectation with the matched bank outflow. Separately compare recorded net pay with gross less employee deductions plus reimbursements. These two differences answer different questions: an accurate provider debit does not prove that every employee payment, deduction or accounting entry was correctly classified. Investigate both before carrying a correction into earnings.
Reproduce the fictional payroll case
Gross pay of $52,000 less $11,000 employee deductions gives $41,000 net pay. In this invented period all deductions are remitted and there are no settlement balances or reimbursements. Employer taxes of $4,500, benefits of $2,500 and fees of $300 produce a $59,300 bank outflow. The net-pay and bank differences are both zero.
On the accrual basis, opening unpaid wages of $4,000 and closing unpaid wages of $6,000 change wage expense to $54,000. The other $7,300 of costs are already entered on that same expense basis. Explained labor expense is $61,300. A reported $62,300 P&L line therefore leaves $1,000 unexplained. It could reflect scope, classification, omitted cost or an incorrect entry; the workbook does not decide which.
Wage expense = paid gross wages + closing wage accrual − opening wage accrual + supported adjustment Explained labor expense = wage expense + matched employer expenses Expense difference = reported P&L expense − explained labor expense
Compare equivalent return fields
The optional comparison table is for equivalent fields and matched periods. Gross pay, federal taxable wages, Social Security wages and Medicare wages can have different definitions. Enter the appropriate payroll tax-basis amount, the filed figure and a supported signed adjustment; do not force all fields to equal gross payroll.
The IRS’s 2026 W-2/W-3 instructions call for reconciling corresponding annual fields and investigating valid reasons for differences. The current Form 941 instructions distinguish employee withholding and employer tax obligations. Confirm the actual return year, amended figures and third-party payer arrangement. This tool neither calculates payroll taxes nor prepares a return.
Turn an exception into a specific next action
Record the amount, period, source discrepancy, accountable reviewer and evidence needed to resolve it. A zero gap does not authenticate the source records. Missing amounts remain unknown, and an unchecked complete-cost declaration prevents a complete cost subtotal. Use explicit zeros only when the item is known not to apply.
Carry an accepted accounting correction into the earnings bridge once. Use the separate owner replacement plan to price continuing work, and the staffing guide for coverage and employment-review questions. A historical payroll tie-out does not establish the buyer’s future staffing cost.
The editor reviews this method quarterly and at release; form mappings must match the applicable year. The transaction’s accountant and employment advisers determine accounting treatment and obligations.

Official and original sources checked October 31, 2026. These sources support the identified rules and methods; they do not verify a particular business or property.
- IRS — IRS — Instructions for Form 941The return distinguishes employee withholding and employer tax obligations; payroll-provider withdrawals are not a single wage-expense category. Use actual matched records and applicable instructions. No automated payroll-tax calculation or form completion is proposed.
- IRS — IRS — General Instructions for Forms W-2 and W-3The IRS calls for reconciling corresponding annual wage and withholding fields and investigating valid reasons for differences. Gross payroll and taxable wage fields need not be identical. Current-year and prior-year adjustments need separate treatment.
- New York DOL — New York DOL — Wage Theft Prevention Act, P715The recordkeeping guidance identifies hours, rates, gross/net wages and deductions, and states a six-year records requirement. Additional industry and transaction obligations require review. A numerical reconciliation does not certify wage-law compliance.
