An insurance quote, a policy reference and binding coverage are different evidence states. A car wash transaction needs the actual entity, location, activities, contract terms and effective instant reviewed together. Use this workbook to expose questions for the insurer, broker, lender and closing advisers.
Start with the insured entity, operations and location
Privately confirm the buyer and operator, property ownership, leased equipment and activities included in the transaction. Full-service work, detailing, quick lube, customer vehicles, employees and business-owned vehicles may raise different questions. The workbook uses aliases and evidence references rather than names, addresses, account numbers or uploaded documents.
Ask how the actual asset or ownership transaction affects existing policies and any proposed replacement. Obtain the insurer's and advisers' instructions rather than relying on a universal claim that coverage transfers or terminates automatically. Record who must confirm the response and when.
Obtain documents that answer a coverage question
| Record | What to establish |
|---|---|
| Current declarations and relevant forms | Named insured, locations, covered activities, period, limits, valuation and conditions. |
| Endorsements and exclusions | What modifies the base wording; identify form/version and effective time. |
| Loss history and open claims | Periods, entity/site scope, unresolved matters and requested insurer follow-up. |
| Written quote | Proposed terms, expiration, conditions, fees and exact period. |
| Binding evidence and final policy review | What was actually placed, by whom, and from which instant. |
| Lender / landlord instructions | Required terms and parties, evidence form, unresolved conditions and acceptance. |
A document's presence alone does not establish that it answers the question. Preserve version, issuer, applicable entity, covered site and scope in the private review file. The seller data-room register tracks authorized disclosure; this workbook compares the substance of the evidence without uploading it.
Separate the coverage tracks
DFS distinguishes property protection, business income and extra expense and emphasizes actual limits, valuation and exclusions. New York State Department of Financial Services: Information for Small Businesses: Property/Casualty Insurance. Review physical damage separately from the income and continuing-cost effect of a closure. Equipment breakdown, flood, sewer backup and off-premises utility interruption need their own wording questions.
NFIP commercial building/personal-property coverage excludes business-interruption or loss-of-use losses. National Flood Insurance Program: The Ins and Outs of NFIP Commercial Coverage. This program-specific limitation does not define every private policy. Do not infer income protection from a property or flood heading. Flood-map screening does not establish a quote, insurability, premium or absence of exposure.
Ask about liability and customer-vehicle exposures, business vehicles and employer coverage under the actual activities. Verify workers' compensation, disability and paid-family-leave responsibilities or a supported exemption with the appropriate professionals. NYS Workers’ Compensation Board: Information for employers. A checkbox does not determine a statutory exemption.
Compare deductibles with the correct basis
One fictional quote uses a $5,000 dollar deductible. Another uses 2% of a documented $1,200,000 basis, giving a $24,000 illustration. Do not assume the percentage applies to a loss amount, a different building value or every coverage row. If the contractual basis is missing, the dollar illustration remains unknown.
Percentage deductible illustration = entered percentage / 100 × documented dollar basis Missing basis or value = unknown illustration, not zero Dollar deductible = entered dollar amount
Record waiting periods with units, sublimits, exclusions and valuation terms separately. Do not add unrelated deductible amounts into a supposed total exposure or subtract them from a hypothetical claim to predict payment. A lower premium can accompany different terms; the workbook supplies no cheapest-option ranking.
Resolve the effective instant, not just the calendar date
Agree the closing time and timezone. Record option-level start/end times and any coverage-specific override. Use explicit ISO timestamps such as 2026-11-01T10:00:00-05:00. If only a date is known, leave the time field unknown and make the missing agreement an action.
The example closing is November 1, 2026 at 10:00 with a −05:00 offset. Option A's entered interval starts at that instant; that arithmetic does not establish coverage. Option B starts at noon, exposing a two-hour start gap. An end equal to closing is flagged as ending at or before closing. Confirm the contract's actual timing and conditions with the insurer and closing team.
Keep unknown, quoted, excluded and recorded states distinct
The available statuses are unknown, quote only, binding evidence recorded, excluded, and not applicable with reason. A non-unknown status needs a reference/reason and responsible role. Those entries are not independently verified, and no completion score or approval is calculated. A known exclusion is not the same as a missing document.
Two-option summaries show statuses, deductible illustrations and timing questions side by side. Expanded evidence tables retain limits, roles, references, waiting periods, exclusions, dates and next actions. Export preserves every entry and the model's limitations. Premiums for different periods are labeled, not silently annualized.
Assign the insurance handoff and closure plan
Carry outstanding questions, responsible roles, binding evidence and effective times into the operating handoff. Coordinate parcel evidence, environmental review, equipment records and lender conditions. None of these tracks substitutes for another.
Use the monthly cash plan for a closure scenario and the equipment reserve planner for a documented project. Do not assume an insurance payment arrives when operating cash is needed. Claim scope, acceptance, timing and proceeds remain separate evidence questions.

Maintain transaction-specific evidence
The buyer and insurance professional maintain quotes, wording, changes and final confirmation. Revisit the comparison when entity, activities, closing time or proposed work changes. The editor reviews DFS/NFIP guidance annually. This workbook is neither a policy interpretation nor an insurance application, claim, payout estimate or closing authorization.
Questions before using the result
Does a matching effective interval prove coverage?
No. It only compares the timestamps you entered. Policy scope, binding status, conditions and actual contract interpretation still need confirmation.
Can a percentage deductible be converted without a basis?
No. The tool leaves that dollar result unknown. Obtain the actual contractual base and units.
Does flood insurance cover lost business income?
Do not assume that. NFIP commercial coverage excludes business-interruption/loss-of-use losses; review the actual private policy and endorsements separately.
